We'll be adding the ability to put your own logo in a few new places in AcuInvoice. Along with this, we might expand the allowed size. One thing we have to consider is the overall look of the invoice, since increasing the logo size alters the placement of other elements. This will be an issue as we release the invoice printing service.

Yes. We actually already have this prototyped and are starting to program it soon. We're doing another iteration of the prototype before we put it to code. Will send you a screenshot via email.

Do you have plans to add an expense tracking feature? I like that I can select expense type and bill to client, but it would be nice to track all of my expenses, even those not related to a client. The Freshbooks implementation of this feature is quite nice, though they do not allow an attachment.

Thanks for the reply. I love your DNS redirect by the way, this is a really great feature.

Re QB, If we could attach a PDF invoice I would sign up today. Without it, I can't see how to close the loop with our existing billing. Some of our bills are 10 to 30 items and retyping those is a no-go. The only service I can find that allows you to attach a file is billmanager by Intuit but everything else about BillManager is... sort of a BM.
Thanks, Charles

Hello,

I really want something far less, although full Sync would eventually be nice. There are so many many aps out there that change the way you invoice. I guess I really don't see a problem using QB to CREATE an invoice. However, getting paid online then is a drag. I would like to be able to UPLOAD a QB pdf or UPLOAD as an attachment to an online accuinvoice invoice. Then when they go to the website it asks them to pay xxx amount (and yes I am happy to input xxx amount - I don't need it to sync that) and provides the quickbooks pdf as link for downloading and printing. Being able to import our customer database would be nice. (CSVimport that I think you may have but a tempate would be nice.) I think this would be fairly easy to implement. You just have an invoice template that says your invoice is attached and allow an upload. Happy to pay extra for the privilege.

A next step would be to send the PAID invoice data back to QB.
A next step woudl be to provide the ability to download all open invoices into Accuinvoice and have a check box for which to send out.

The deal here is that I cannot find an app that lets me still use all my items and workflow in QB but just asks for the money in a clean sane way!

Just ideas. Happy to flesh it out more.

1. using QB desktop
2. All invoicing data for full sync
3. Would be a nice feature, that way we can use either QB or acuinvoice, depending whether I'm at work or on an island at some white sandy beach sippling cocktails and counting the money!!
4. Complete sync would be the best!
5. Early version to QB integration would be fine. Anything that is a start is a bonus!
6. Automatic would be good, and likely good to sync wen possible - weekly...etc.

yup, you got it right sidney...

just posting some Q and A on making a compliant Australian Tax Invoice -

1. First, a very basic question: Is the Australian "Tax Invoice" a document that has a purpose identical to a US "Invoice"? In other words, are all invoices sent to an Australian recipient inherently a "Tax Invoice" or are there instances when it might be something other than this?\

A. YES. all invoices that handle GST in Australia need to be labelled "Tax Invoice" and "Sales Tax" in the sub total area also needs to say "GST" instead of Sales Tax.

2. If someone from Australia invoices someone in another country--let's say the US--would it be customary for the Australian company to send a "Tax Invoice"? If so, does it have any function different than a standard invoice? Could the US company, for example, use the Tax Invoice to reclaim the VAT from the Australian government?

A. We cannot collect GST from foreign companies - but we still need to send a compliant "Tax Invoice". If I had to bill a US client I'd set the tax percentage to zero - or not check the tax box so no tax applies. The invoice will still need to be "tax invoice" compliant for auditing purposes here in Australia.

Q. So basically my two question are a) are all invoices where both the sender and recipient reside in Australia "tax invoices" and b) if one party resides outside of Australia, is it still a tax invoice or is it just an invoice?

A. Its just the one invoice. Its a "Tax Invoice" and "sales Tax" is "GST". That makes it a compliant invoice for the purpose of issuance by/to Australian businesses/recipients.

now, can you give me a timeline when this can be done so I can sign up and you can make some $ from me?

Thanks for the heads up on this. I'll open a ticket on this and try to get something out in the forthcoming 1.1 release. The issue related to displaying EUR rather than € should be simple enough. However, the separator is a little more complex. If we go down this path, we'd have to hard code this for each currency, and as you can tell, we support a bunch of them. We might have to think that part through a bit more.

Several people have either contacted us, or have stumbled upon out site, in search of a solution for adding VAT numbers to Google's internal invoicing system. While we work on a long term VAT solution (we encourage you to participate in this and other related threads to provide input on this), we suggest one of the following two approaches in AcuInvoice to help Google Checkout users deal with this issue:

Make use of the Address 2 field. This is a good area for you to put VAT#: XXXXXXX

In the Company Name field, put "Company Name: VAT#: XXXXXX"

We encourage users to participate both on this thread as well as on another thread related to VAT invoices to help us come up with some good specifications for this. Meanwhile, we invite current users of Google's invoicing tool to try out AcuInvoice; we think the functionality is clearly superior to Google's invoice utility.

A couple of users have contacted us regarding the ability to synchronize data with QuickBooks. These users typically utilize QB as a general ledger package, but prefer the flexibility that AcuInvoice provides. QuickBooks "integration" is something that, depending on how it is defined, could either be very simple, or fairly complex. Therefore, we are starting this thread to seek community feedback so that we can learn more about this issue prior to rolling out an initial QuickBooks integration utility. We have some specific questions, but would also encourage you to provide whatever feedback you think should be considered in making our decision regarding QB integration. Our specific questions for users include:

Do you use the desktop version of QB or do you use QuickBooks online?

What data (specifically) would you like to send from AcuInvoice to QuickBooks?

Do you need to send data from QB to AcuInvoice?

Would you want this to be a one way communication (e.g. AI-->QB only) or would you want to have complete synchronization between the two applications?

Would you prefer to see an early version of QB integration, or should we wait for certain new features to be unveiled (e.g. time tracking, the concept of a project, etc.)?

How frequently would you need to have data imported or synchronized? If you are using the online version, would it be ok to do this automatically?

If users could be so kind as to provide this feedback, we will begin to draft specifications for QuickBooks integration in the near future.

Glad to hear the expression of interest. We've not yet made the staging environment public--we're merely assessing interest on the part of our users at this point. But we have already been contacted by a couple of people, so it seems like this might end up happening. It will be a moderate amount of work to get things properly setup and opened up to our users.....if we continue to hear interest, we'll probably get this setup so that we can give staging area users access to features in AcuInvoice 1.1 several weeks ahead of the official 1.1 rollout. As for pricing, we will have a pricing page up either today or tomorrow. The page has been written, and the text translated. We are merely integrating a new streamlined registration system into the site and want to release that page along with the new signup page. I'm going to do a blog post on pricing concurrent with the release. It will, among other things, explain our pricing logic, detail how the pricing relates to a follow-on product we will be releasing in the fall, and will provide early adopters such as you a coupon for paid plans.

I was thinking that it would not be sent as an actual attachment to the email that goes out to the customer. Rather, I was envisioning 1. a link to the PDF and 2. the existing link to the web based version of the invoice that contains links to the payment gateways, etc. If we did it this way, we should still be able to track when and by whom the PDF version was downloaded, and record a comment indicating as much in the invoice notes. Were you wanting the PDF to be sent as an actual attachment? Clearly we are still thinking through this, so if you have some suggestions, let us know.

Thats a real cool feature that'd give a real boost, I like graphs it gives you a quick overview without numbers, it should be on the dashboard, where it displays all received/receivables/due possibly a sum or percentage or both together, hope this helps you!

Flash charts hmm gives a cool feeling, but can we print flash charts?

***Admin Note: Cross-Posted on the Blog--Please provide feedback***
As we near the 1.0 release (delayed by several days by the arrival of Charlie), we are already actively coding features for AcuInvoice 1.1. This next release of AcuInvoice will include a number of user interface improvements, feature upgrades, and modifications designed to improve the overall user experience; details have previously been posted here. In discussing plans for 1.1 with our engineers this morning, we have decided to seek feedback from the AcuInvoice user community regarding the notion of allowing subscribers to opt-in to the AcuInvoice staging environment, thereby providing access to an advanced preview of new features and allowing us to more rapidly assemble feedback that will make AcuInvoice more useful and productive for everyone. We stress that this would be on an opt-in basis and that users would not be required to use the staging environment. More details are below. If, after reading this post, you are interested, please post a comment or respond to the thread I have posted on the forum (go on, you know you want to join the forum).

What Is The Staging Environment?
We develop and test on an internal LAN, then perform advanced testing in a staging environment that has a configuration substantially similar to the live AcuInvoice server. Additional testing in the staging environment helps us find (typically minor) bugs that had previously gone undetected, and helps us further optimize the code prior to releasing it to the public. The more people use the staging environment, the faster the code can be optimized, and the faster the code will get out to the public.

Is It Safe?
Yes. We don’t put Blue Screen of Death code on our staging environment; it’s typically pretty solid and just needs to be reviewed by a few more users. Also, if we open up the staging environment, we would let you opt out at any time. Lastly, since we recently implemented Amazon S3 backups, we would easily be able to roll back your account to a previous day. The risk is quite minimal.

Why Would I Use The Staging Environment?
Good question. Here are a few reasons.

You would get to see cool, newfangled features before everyone else.

You would get to influence the development process more directly; your input is likely to have an obvious impact on the final work product.

We would likely give out perks to staging environment users who provide significant help, feedback, etc.

If you think this sounds like something you might be interested in, let us know. Our go/no-go decision on this will be based largely on the level of enthusiasm expressed, so if you are interested, please let us know by commenting here or on our forum.

We've had a number of customers contact us about making AcuInvoice more compatible with VAT taxing structures. We'd like to hear from our users what all we would need to make AcuInvoice more friendly for your particular situation. Things we have heard so far:
1. Add a VAT number/Company registration number field to both your company, and the client company and display it on the invoice. Question: does this typically get displayed in the address block of the client, or would it be ok if we displayed this information toward the bottom of the invoice template--for example, around the area where you can currently add notes.

2. Allow users to specify what the tax is called. Currently, the tax is set to "sales tax"...perhaps we should have a variable where the user can set the name of the tax.

3. Translations. We've had requests for more translations (particularly requests for Dutch).

I would like to have more feedback from users regarding what things would need to be added in order to make AcuInvoice more (insert your country)-friendly.

Rick,
Thanks for joining the AcuInvoice forums. We are considering this and would like to have feedback from users on a preferred implementation. Options include:
1. Keep it simple. Apply discounts to the whole invoice (e.g. 20% to the whole invoice).
2. Make it more nuanced: allow line item discounts in addition to full invoice discounts (e.g. 10% to the first line, but not the next)
3. Context-dependent discounts: (e.g. 15% off the whole invoice if paid within 5 days).

So yes, we have thought about this, but we have yet to determine a preferred implementation/how it might integrate with other elements of the code. If we get some more feedback from users (hint, hint), we might be able to get this into the 2.0 release in the fall--probably too late for 1.1, since we'll need to do specs, mock it up, etc. prior to coding it. Thanks for the feature suggestion!

Try this out again, please. Part of the problem might have been PayPal. They were having issues with their IPN feature right around the time you posted this.

It would be nice to have a field that allows application of a discount to an entire invoice. I wonder what others think.

Absolutely. I don't do time tracking, but it would be nice to use the widget to enter invoice line items as my day goes along.

Flipman619,
Thanks for joining our forums. There are a few things you need to have in order for PayPal to work with AcuInvoice.
1. A valid PayPal account.

2. You need to have PayPal activated, and your account information entered properly in your AcuInvoice account. This section can be found in My Account-->Payment Gateways within your AcuInvoice account.

3. When you create an invoice, you then have to send that invoice. When you hit "Send" you will see an option to "Enable PayPal" for that invoice.

The recipient is sent an email telling them that they have an invoice to pay. When they open the invoice, links to any enabled payment gateways (e.g. PayPal, 2checkout.com, Amazon FPS) are shown in the upper left hand side of the invoice. I suspect the problem is that you are viewing the invoice not from the recipient's perspective, but rather from within the application (i.e. the invoice editor). These have slightly different displays, and since it is unlikely that you'd want to be paying invoices for your clients, the links to the payment gateways are excluded from this view. If this hasn't answered your question, or if you think you might have found a bug, please shoot us an email at support (at) acuinvoice dot com or click on the "contact support" button in the upper right hand of the application.
Regards,
Sidney

Does anyone know how this is supposed to work?
